Material availability and orders in a single view

Finding information required opening documents one by one — orders, stock levels and delivery dates were scattered across different files.

Before

The purchasing specialist worked with more than a dozen separate files, each containing a different piece of data. One source showed orders, another stock levels and another supplier delivery dates. Assessing whether material requirements were covered meant opening several documents and comparing the information manually. The risk of overlooking something was high.

Discovery

A meeting with the IT team and management identified more than a dozen potential areas for improvement. One stood out: access to information scattered across files. We selected one scenario and built a prototype to test on real data.

What we tested

  • One place instead of multiple files — can data scattered across numerous documents be searched and compared through a single interface, without opening each file separately?
  • A result anyone can understand — can the information found be presented clearly to every employee, not only to someone familiar with the file structure?

What changed

The purchasing specialist could use a single view to check material availability from suppliers, compare it with demand and outstanding orders, and assess coverage for specific items. A single operational view replaced the manual process of opening and analysing scattered files, with sorting and filtering by material, supplier, quantity and date.

Client decision

The client decided to continue the partnership and proceed with production deployment.
